Custom software development in India

Custom software is a system built around one organisation's own process, instead of a package that asks the organisation to change. Cognify designs and builds portals, workflow tools and internal systems for Indian businesses, starting by observing how work really moves, then replacing the spreadsheets and workarounds that slow it.

What is included

Process mapping

We sit with the people who do the work, follow a request from start to finish, and write down every handoff, approval and exception before proposing anything.

Data model and records

A clear structure for your customers, jobs, documents and payments, so reports come from one trusted source rather than from combining files.

Workflows and approvals

Rules for who does what next, with reminders when a step stalls, so work moves without someone chasing it by phone.

Admin panel and permissions

A control screen for your staff to manage records, with roles that decide who can view, edit, approve or export.

Reports and exports

Dashboards for what owners ask every week, plus exports to Excel or PDF for accountants, auditors and clients who expect them.

Migration from existing files

We clean and import your current spreadsheets and records, check them with you, and run old and new side by side before switching over.

Problems this solves

  • A package that fits only partly

Off-the-shelf tools work until your process differs from the template. Then staff keep a parallel spreadsheet, and the package becomes a second system to maintain.

  • Knowledge that lives in one person

If one employee knows how the files fit together, their leave or exit stops work. Software records the process and the data, so continuity does not rest on memory.

  • Reports that take a day to assemble

When numbers must be gathered from several files, they arrive late and disagree. A single database answers the same question the moment it is asked.

How we work

  1. 01

    Observe

We watch real work for a few days, collect the forms, sheets and messages involved, and ask why each step exists.

  2. 02

    Model

We write the process as a plain-language flow and a data outline and review both with your team. Disagreements are cheapest to settle here.

  3. 03

    Build the core

The first release covers the central flow end to end, even if it looks plain, so the team can test real cases early.

  4. 04

    Move across

We import your data, run the new system next to the old one for an agreed period, and fix differences before the old files are retired.

  5. 05

    Train and extend

Short sessions for each role, a written guide, and a backlog of next improvements ranked by the time they would save.

Example outcomes

  • One source of truth for jobs, customers and payments instead of several files.

  • A defined path for every request, with a visible status and owner.

  • Staff time released from retyping and chasing, available for work that needs judgement.

  • Source code and documentation that you hold, so you are not tied to us.

Technology we use

Custom work uses mainstream, well-supported tools so that any competent developer can maintain the result.

  • TypeScript and Node.js
  • React and Next.js front ends
  • PostgreSQL
  • REST and webhook integrations
  • Role-based access control
  • Scheduled jobs and email or WhatsApp notifications

Industries served

  • Custom EnterpriseInternal tools for firms whose process does not fit a standard package: approvals, registers, inspections and dashboards.
  • AMC ServicesContracts, service tickets and visit records in one system, with renewal reminders ahead of expiry.
  • Construction & Real EstateProject tracking, vendor payments and lead pipelines kept together rather than spread across files.

How we price this

Custom software is priced by the work involved, which depends on how many processes and roles it covers, how many other systems it connects to, and how much data must be migrated. We do not guess these before seeing your process.

We prefer to break a project into phases. The first phase has a defined scope and a written estimate, and later phases are planned once you have used the core. You can stop after any phase with a working system in hand.

Questions, answered

When is custom software better than an off-the-shelf package?

When your process is a reason customers choose you, when a package needs heavy workarounds, or when you pay for many features you never use. If a standard package fits well, we will say so, since buying is faster and cheaper.

Who owns the source code?

Ownership terms are written into the agreement. Our default is that you receive the source code and documentation for the system built for you, so another developer can maintain it if you choose.

Can we start small and grow the system?

Yes, and we recommend it. A first phase covers the central process, and you add modules as the team uses it. Each phase is estimated separately, so you control the spending.

Can the system connect to our accounting software?

In many cases. Where the accounting tool offers an API or a dependable export format, we can pass invoices and payments across. We confirm what is possible with your specific software in the first call.

How do you keep our data safe?

We use role-based access, encrypted connections, regular backups and restricted production access. We also agree with you who administers accounts, and how access is removed when someone leaves.

What happens if our process changes later?

Process rules are kept in clear, separated parts of the code so changes are quick. We offer maintenance and enhancement plans, and the documentation allows others to make changes if needed.
