Custom enterprise software

Custom enterprise software is built around one company's own processes, such as approvals, inventory, orders or reporting, instead of adapting the company to a package. Cognify, a Jaipur agency, builds internal tools, portals and automation for firms of almost any kind across India, in phases so each one is useful on its own.

What is included

Process discovery

We follow your work as it really happens, including the workarounds, and write down the steps, the people and the data each step needs before proposing any software.

Internal tools and dashboards

Screens for the people who run the process: requests, approvals, status boards and reports, with access limited by role.

Approvals and workflow rules

Routing by amount, department or type, with deadlines and escalation, so work moves without a person forwarding messages.

Integrations

Connections to the tools you already pay for, such as accounting, email, messaging and payment services, where they offer an API or a dependable export.

Customer and vendor portals

A login for the outside people your staff deal with, so they can check status and send documents without calling.

Documentation and handover

Written guides, role-by-role training and source code documentation, so the system does not depend on us to be understood.

Problems this solves

  • Process run on spreadsheets

It works until one person is away or the volume doubles. Moving the process into a system gives it a shared record and rules that apply every time.

  • Packages that do not fit

Ready-made software forces workarounds or leaves you paying for features you never use. A tool built to your process removes the workarounds.

  • Data in too many places

Sales, operations and accounts keep separate lists. One system with the right permissions gives every team the same numbers.

Example: an approval route

An illustration of a workflow rule set. The amounts, roles and timings are invented for the example and this is not a client record.

  1. RequestA department head submits a purchase request with a quote attached.
  2. Rule 1Below the department limit, the request goes to the department's approver only.
  3. Rule 2Above that limit, it also goes to finance, with the budget balance shown on screen.
  4. After 2 daysNo response: a reminder goes to the approver, and then to their manager.
  5. On approvalA purchase order is generated, the vendor is notified, and the budget is updated.

Approvals follow your rules every time, and anyone can see where a request is waiting.

How we work

  1. 01

    Discover

We interview the people who do the work, collect the sheets and forms they use, and agree which process to improve first.

  2. 02

    Design the smallest useful version

You review clickable screens for the main flow, so mistakes are cheap to fix before development begins.

  3. 03

    Build in phases

Each phase delivers something your staff can use, and you see working software at regular points instead of only at the end.

  4. 04

    Move in and train

We import existing data, train users by role, and support the first weeks closely, running the old method alongside when it is wise.

  5. 05

    Improve

We review usage with you, fix what slows people down, and plan the next phase from what your team actually needs.

Example outcomes

  • A process with one shared record in place of scattered sheets and messages.

  • Approvals that route themselves and flag what is stuck.

  • Role-based access so each person sees only what they need.

  • Reports produced from live data rather than assembled by hand.

Technology we use

We choose widely supported tools that other developers can maintain, and we avoid unusual technology that would tie you to us.

  • Next.js, React and TypeScript
  • PostgreSQL or Supabase
  • Role-based access and audit logs
  • REST and webhook integrations
  • WhatsApp Business messaging and email
  • Retrieval-based assistants over company documents (optional)

Services that fit

  • Custom SolutionsThe core build: internal tools, workflow software and portals shaped around how your firm works.
  • AI & AutomationAutomation of the repetitive steps inside your process, plus advice on where AI helps and where it should not be used.
  • RAG & LLM SolutionsA company knowledge assistant that answers staff questions from your policies, manuals and past documents.
  • Web & Mobile App DevelopmentWeb and mobile front ends for staff in the field, customers and vendors.

How we price this

Custom software is priced by the work involved, which depends on how many processes and roles it covers, how many other systems it connects to, and how much data must be moved. We do not guess these before seeing your process.

We break the project into phases. The first has a defined scope and a written estimate, and later phases are planned once you have used the core. You can stop after any phase with a working system.

Questions, answered

What kinds of businesses do you build custom software for?

Almost any firm with a repeatable process, such as distribution, manufacturing, services, logistics or trading. The industry matters less than whether the work follows steps that software can track.

How do I know if I need custom software or a package?

If a package fits with little effort, buy it. If you rely on workarounds, pay for unused features, or your process is why customers pick you, a custom tool is worth a discussion. We say plainly when a package is the better choice.

Can you build an ERP for a small business?

We build the modules a business needs, such as orders, inventory, approvals and reports, rather than a large all-purpose ERP. Starting with the module that hurts most keeps the project small and useful.

Who owns the source code?

Ownership terms are written into the agreement. Our default is that you receive the source code and documentation for the system built for you, so another developer can maintain it if you choose.

Can the system connect to what we already use?

In many cases. Where your tools offer an API or a reliable export, we can connect them. We confirm what is possible with your specific tools in discovery.

What support do you offer after launch?

We support the first weeks closely and offer maintenance plans afterwards, covering fixes, hosting checks and small changes. The scope and response times are written into the plan you choose.
