Real estate CRM and construction software

A real estate CRM records every property enquiry, assigns it to a salesperson and schedules follow-ups, while construction software tracks site progress and tasks. Cognify, a Jaipur agency, builds both for builders, brokers and contractors across India, and automates the follow-up steps so no enquiry waits for someone to remember it.

What is included

Lead capture from every source

Website forms, portal enquiries, WhatsApp messages and walk-ins land in one list with the source recorded, so you can see which channel brings serious buyers.

Lead assignment and follow-up

Each lead goes to a salesperson by rules you set, such as project, budget or area. Follow-up tasks and reminders are created automatically, and unattended leads are escalated.

Project and inventory pages

Project pages with plans, specifications and availability, and an inventory view for the sales team so nobody quotes a unit that is gone.

Site-visit scheduling

Visitors pick a slot, the salesperson and visitor get confirmations and reminders, and the outcome is recorded after the visit.

Site progress reporting

Site engineers submit photos and short updates from a phone against stages of work. Owners see progress by project without waiting for a weekly call.

Payments and document tracking

Booking amounts, instalment schedules and document status per buyer, so the accounts team and the sales team read the same record.

Problems this solves

  • Leads lost between channels

A lead who messaged on WhatsApp and also filled a form gets two replies or none. One list with duplicate matching gives every lead a single owner.

  • Follow-up by memory

A buyer who needed a call on Thursday is forgotten by Friday. Scheduled reminders and automatic first responses keep leads warm, and managers see what is overdue.

  • No clear site progress

Updates travel by phone call and forwarded photos. Structured site reports tied to stages of work give owners a current view and a record to refer back to.

Example: lead follow-up

An illustration of a follow-up sequence. The project, times and names are invented and this is not a client record.

  1. Minute 0Enquiry arrives from the project page and is saved with its source and budget.
  2. Minute 2WhatsApp acknowledgement sends the brochure and offers site-visit slots.
  3. Minute 3The lead is assigned to a salesperson by project, who sees a task with the details.
  4. Day 1No reply, so a reminder message goes out and an AI voice agent can place a qualifying call.
  5. Day 3Still quiet: the lead is escalated to the sales manager with the full history.

Salespeople spend their time on buyers who respond, not on remembering who to call.

How we work

  1. 01

Trace a lead from enquiry to booking

We follow real leads through your team, noting where they wait and who touches them, and do the same for one site's reporting.

  2. 02

    Set the rules

Together we write the assignment, follow-up and escalation rules in plain language before they become software.

  3. 03

    Build and pilot

A working version goes to part of the sales team first. Their feedback shapes the screens before everyone uses it.

  4. 04

    Connect sources

We connect your website, enquiry channels and messaging so leads flow in without copying and pasting.

  5. 05

    Review the pipeline

After a few weeks we review response times, lost reasons and follow-up gaps, and adjust the rules.

Example outcomes

  • Every lead acknowledged quickly, with a named owner and a next step.

  • Overdue follow-ups visible to managers instead of discovered at month end.

  • Site visits scheduled, confirmed and recorded in one place.

  • Owners who read current site progress without chasing engineers.

Technology we use

Sales teams work on phones and site engineers work in the field, so we build tools that work on small screens and tolerate poor connectivity.

  • Next.js and TypeScript for web dashboards
  • Flutter or a progressive web app for site staff (chosen per project)
  • PostgreSQL or Supabase
  • WhatsApp Business messaging
  • Integrations with enquiry sources where an API exists
  • Image upload and storage for site photos

Services that fit

  • AI & AutomationLead acknowledgement, follow-up reminders and escalation rules that run without manual effort.
  • AI Voice AgentsQualifying and site-visit confirmation calls in Hindi and English, with the outcome logged to the lead.
  • Web Design & DevelopmentProject websites with specifications and a fast route from interest to a site-visit request.
  • Custom SolutionsA CRM and project tracker shaped around how your team sells and builds, not a generic template.

How we price this

A CRM for a single sales team differs greatly from a system that also covers inventory, payments and site reporting. Price follows the number of modules, users and enquiry sources, the integrations needed and how much existing data must be imported.

We start with the part that loses you the most, usually lead follow-up. You receive a written estimate for that phase, and site reporting or payments follow once the sales team is using the core.

Questions, answered

Do I need a custom CRM or will an existing one do?

If a standard CRM fits your sales process, use it, since that is faster and cheaper. Custom makes sense when your inventory, assignment rules or site workflow do not fit one. We will tell you which case yours is in the first call.

Can leads from property portals go into the CRM automatically?

Where a portal offers an API, email forwarding or an export we can read, yes. We check the options for your portals in discovery, because each one differs in what it allows.

Can the system call leads automatically?

An AI voice agent can place a short qualifying call in Hindi or English and log the result, but we keep it limited to simple, honest tasks and always offer a handover to a salesperson.

How do site engineers send updates?

From a phone, with photos and a short note against a stage of work. The tool works with weak connections by saving the update and sending it when the network returns.

Can this handle several projects and sales teams?

Yes. Leads, inventory and reports are organised by project, and access is limited by role so each team sees what it should.

How are customer details kept safe?

We use role-based access, encrypted connections and regular backups. We agree with you who can see or export buyer details, and how access is removed when a salesperson leaves.
