School management software

School management software keeps admissions, fees, attendance, timetables and parent communication in one system instead of scattered sheets and phone calls. Cognify, a Jaipur agency, builds these systems for schools, colleges and coaching institutes, and automates the repetitive parts, such as fee reminders and enquiry follow-ups, so office staff handle exceptions.

What is included

Admission and enquiry management

An enquiry form on your website feeds a single pipeline: enquiry, campus visit, application, document check, offer. Every enquiry has an owner and a next step, so none waits in a notebook.

Fee records and reminders

Fee structures per class or programme, instalments, concessions and receipts, with reminders sent on a schedule you set before and after the due date.

Attendance and parent updates

Teachers mark attendance on a phone. Absence alerts, circulars and result notices go to parents on WhatsApp or SMS, and the office sees what was delivered.

Student and staff records

One record for each student with documents, history and guardian contacts, and role-based access so a teacher sees a class, not the whole school.

Parent and student portal

A login where families see fee status, receipts, notices and results, so fewer calls reach the front desk for information that already exists.

An institute website that feeds the system

Admission, programme and facility pages built so a parent finds an answer quickly, with the enquiry going straight into the admission pipeline.

Problems this solves

  • Fee chasing eats the day

Staff phone parents one by one, note the answers in a register and chase the same people again. A reminder schedule with a payment link handles the routine cases and flags only the parents who need a conversation.

  • Enquiries go cold in season

Calls and form fills arrive faster than a small team can answer. Prompt acknowledgement and a scheduled follow-up keep each enquiry moving, and a person steps in for campus visits and decisions.

  • The same parent questions

Timings, fee dates, uniform rules and holiday lists fill the phone lines. A portal and a document assistant that answers from your own handbook cut those calls without removing the office as the final word.

Example: a fee reminder cycle

An illustration of how reminders can run for one instalment. The dates and names are invented and this is not a client record.

  1. 7 days beforeWhatsApp reminder with the amount, due date and a payment link, sent from an approved template.
  2. Due dateSecond reminder if the instalment is still open. Paid fees stop the sequence automatically.
  3. 3 days afterAn automated call offers to resend the link or arrange a callback from the office.
  4. 7 days afterThe parent appears on the accounts desk list with the history of every message and call.
  5. On paymentReceipt is generated and sent, and the ledger updates without manual entry.

Staff speak only to parents who need a conversation, with the full history in front of them.

How we work

  1. 01

    Walk through the year

We sit with the principal, accounts and admissions staff and follow one admission cycle and one fee cycle end to end, noting every register, sheet and phone call involved.

  2. 02

    Agree the first release

We choose the process that costs the most hours, usually fees or admissions, and write down what the first release does and what waits for later.

  3. 03

    Build with your staff

You open a working version early and try it on real records. Teachers and office staff give feedback while changes are still small.

  4. 04

    Go live between terms

We move existing records in, train staff in short sessions, and run the old and new method side by side for a short period before switching over.

  5. 05

    Extend

Once the core is in use we add the next module, such as attendance, a portal or voice reminders, as a separate, estimated step.

Example outcomes

  • Fee reminders that go out on schedule without a staff member opening a register.

  • Every admission enquiry with a named owner and a recorded next step.

  • Parents who find fee status and notices in a portal instead of phoning the office.

  • Leadership that can see collections, enquiries and attendance in one place.

Technology we use

We build on a web stack that runs in any browser, so teachers and parents need no installation, and add a mobile app only where it earns its place.

  • Next.js and React for portals
  • TypeScript
  • PostgreSQL or Supabase for records
  • WhatsApp Business messaging and SMS gateways
  • Payment gateways such as Razorpay (confirm per project)
  • Role-based access and daily backups

Services that fit

  • Web & Mobile App DevelopmentThe staff dashboard, the parent portal and a teacher's attendance app, built as one system.
  • AI & AutomationFee reminders, enquiry follow-ups and circulars that run on their own schedule, with a person on the exceptions.
  • AI Voice AgentsReminder and enquiry calls in Hindi and English for the parents who do not read messages.
  • RAG & LLM SolutionsAn assistant that answers parents from your prospectus, fee policy and handbook, and says so when it cannot find the answer.
  • Web Design & DevelopmentAn institute website whose admission pages bring enquiries straight into the pipeline.

How we price this

A school with one campus and fee tracking is a different project from a group of institutes with transport, hostel and exams. We do not publish a price list, because scope varies with the number of modules, user roles, branches, messaging volume and how much existing data must be moved.

After the discovery call you receive a written estimate that splits the work into phases. The first phase covers the process that costs you the most time, and you decide on later modules once your staff have used the core.

Questions, answered

Do you build ERP software for schools and colleges from scratch?

We build software around how your institute runs, and we will tell you if a ready-made package fits better. Many institutes need a handful of modules rather than a full ERP, and building only those keeps the system simpler for staff to learn.

Can parents get fee reminders on WhatsApp?

Yes. Messages go out from approved templates through the WhatsApp Business platform, with the amount, due date and a payment link. Parents must have agreed to receive messages, and we set up the consent record with you.

Can the system handle admissions during the busy season?

That is the case it is designed for. Enquiries are acknowledged at once, each one is assigned to a staff member, and follow-ups are scheduled, so a spike in enquiries does not mean lost ones.

How do you protect student data?

We use role-based access, encrypted connections and regular backups, and we agree with you who can see which records. Student data belongs to your institute, and we discuss retention and consent with you before launch.

Can we move our existing records into the new system?

Usually, yes. If your records are in spreadsheets or an older package that can export data, we clean and import them. We review a sample first so you know what to expect before the full move.

Do you support schools outside Rajasthan?

Yes. We work from Jaipur and deliver remotely across India, with video calls for planning and training. We can visit for key sessions where it helps.
