Practice management software for CA firms

CA practice management software tracks clients, recurring compliance work, documents and staff tasks in one system, usually with a client portal for uploads. Cognify, a Jaipur agency, builds these for CA and finance firms across India, and automates document requests and reminders so partners spend less time chasing files.

What is included

Client portal for secure uploads

Clients log in, see what you need from them, and upload files against each item. Nothing depends on a WhatsApp thread or a personal email inbox.

Document checklists per engagement

A checklist for each type of work, such as a return, a GST filing or an audit, that shows what has arrived, what is missing and what is under review.

Reminders on a schedule

Requests and reminders go to clients by WhatsApp or email at intervals you choose, and stop when the item is uploaded. Staff see who has not responded.

Task and deadline tracking

Recurring work is created from a calendar your firm controls, assigned to staff, and tracked through stages, so partners see status by client and by person.

Client records and communication log

Contact details, past engagements and messages in one record, so a new team member can pick up where a colleague left off.

A firm website that brings new clients

Service pages and an enquiry form that collects the details you need, feeding straight into the client list.

Problems this solves

  • Documents arrive in pieces

Bank statements on WhatsApp, invoices by email, forms by courier. One portal and one checklist per engagement show exactly what is still missing.

  • Partners chase clients

Skilled people spend hours sending the same reminders. Scheduled requests handle the routine, and only the clients who stay silent reach a person.

  • Status lives in someone's head

When a staff member is away, nobody knows where a client's work stands. Stage tracking gives everyone the same view.

Example: collecting documents

An illustration of one document request. The client, items and timings are invented. Deadlines come from your firm's own calendar and this is not a client record.

  1. Day 0Staff start the engagement. The portal shows the client a checklist of seven items.
  2. Day 0A WhatsApp message with a link asks the client to upload them.
  3. Day 3Five items are in. A reminder lists the two that are missing, by name.
  4. Day 6Still missing one item. The task is flagged to the staff member, who calls the client.
  5. Day 7All items received. The engagement moves to review and reminders stop.

Staff contact only clients with a real gap, and know exactly which document to ask for.

How we work

  1. 01

Review how a client engagement runs

We follow a typical engagement from first request to filing, noting every document, message and review step.

  2. 02

    Design the checklists

We build checklists for your main services with you, because you know what each file needs and we know how to make it trackable.

  3. 03

Build the portal and the staff view

Clients get a simple upload screen. Staff get a board by client, person and stage.

  4. 04

    Pilot with a few clients

Willing clients use it for one cycle. We note where they struggle and simplify those screens.

  5. 05

Bring the rest of the clients in

We help invite clients in batches and adjust the reminder rules based on how they respond.

Example outcomes

  • One place for every client document, with a visible list of what is missing.

  • Reminders that stop on their own once the document arrives.

  • Partners who see engagement status by client and staff member at a glance.

  • A clearer record of what was requested, when, and what the client sent.

Technology we use

Client financial documents are sensitive, so we choose access control and storage first and build the features on top.

  • Next.js and TypeScript for the portal and staff dashboard
  • PostgreSQL or Supabase with row-level access control
  • Encrypted file storage
  • WhatsApp Business messaging and email
  • Document search with retrieval-based assistants (optional)
  • Regular backups and activity logs

Services that fit

  • Web Design & DevelopmentA firm website with service pages and an enquiry form that collects the right details first.
  • AI & AutomationDocument requests, reminders and status updates that run on a schedule and stop when the work is done.
  • RAG & LLM SolutionsAn assistant that searches your own notes, circulars and past working papers and shows the source of each answer.
  • Custom SolutionsA practice management system that follows your firm's workflow, rather than forcing your work into a generic template.

How we price this

A portal for a small firm with a few engagement types differs from a multi-partner practice with many staff, services and a document search. Price follows the number of engagement types, users, reminder rules and integrations.

We usually start with document collection and reminders, as that is where most hours go. You receive a written estimate for that phase, and task tracking and extra services follow once your clients are using the portal.

Questions, answered

Is client data safe in a custom portal?

We use role-based access, encrypted connections and storage, and activity logs, and we limit who in your firm can see each client. Before launch we agree retention and deletion rules with you, and we explain how backups work.

Does the software file returns or calculate tax?

No. It manages documents, tasks and communication around your work. Filing and tax decisions remain with your firm and your professional tools. We do not replace them, though we can link to them where they offer an export.

Who sets the deadlines and reminder dates?

Your firm does. You control the calendar of due dates and the reminder schedule, because deadlines change and responsibility rests with you. We build the tool that follows your dates.

Will my clients actually use a portal?

Clients use what is easy. The upload screen is simple, works on a phone, and can be reached from a WhatsApp link without remembering a password in many setups. We test it with a few clients before inviting the rest.

Can the system work with Tally or our accounting software?

Sometimes. Where your accounting tool provides an API or a dependable export, we can read or pass data. We check what is possible with your specific version in the first call before promising anything.

Can we start with only document collection?

Yes. A checklist, a portal and reminders replace the most repetitive work first. Task tracking, a client database and search can be added after your team has used the core.
